Summary

The Studio Operations Coordinator will report to the Studio General Manager and will be a key player in the smooth operation of the studio. He or she will work closely with the various teams at Reflector to meet their needs.

Job requirements

RESPONSIBILITIES

  • Ensure the cleanliness and organization of common work and relaxation areas;
  • Coordinate material supplies and manage invoicing;
  • Assist in preparing and monitoring the studio's material resources budget, including stationery, food, and other essentials;
  • Establish agreements with external suppliers;
  • Handle mail, orders, and deliveries;
  • Assist with studio renovation and layout projects;
  • Coordinate maintenance tasks with the building manager;
  • Support the organization of events and meetings;
  • Collaborate with the Engagement Committee and manage financial tracking under the supervision of the Procurement and Finance department, following the established budget;
  • Ensure adherence to safety policies and emergency procedures.


REQUIREMENTS

  • This is a part-time position requiring in-studio presence for 5 hours per day, 5 days per week;
  • Relevant experience in a coordination, administrative support, or material resource management role;
  • Strong organizational, time management, and task prioritization skills;
  • Energetic, warm, and service-oriented approach;
  • Excellent verbal and written communication skills;
  • Ability to collaborate effectively in a team and work proactively with various stakeholders;
  • Comfortable using digital tools such as calendars, email, and instant messaging.
